Inspections

The inspection module provides a structured workflow for scheduling property inspections, tracking checklist items, generating PDF reports, and notifying tenants in advance.
Inspections are available on Pro and Business plans with an active or trialing subscription only. Free plan users will see a PLAN_UPGRADE_REQUIRED response.

Inspection lifecycle

An inspection follows this workflow:
  1. Schedule — create an inspection with a date, property, optional unit, and checklist.
  2. Remind — tenants are automatically notified 48 hours before the scheduled inspection.
  3. Complete — update the checklist with findings, add notes, and mark the inspection as complete.
  4. Report — a PDF report is automatically generated and stored as a property document.

Scheduling an inspection

  1. Go to Properties → Inspections in the sidebar, or open a property and select the Inspections tab.
  2. Click Schedule Inspection.
  3. Fill in the details:

    UnitOptional — a specific unit within the property. Must belong to the selected property.
    Scheduled forThe date and time of the inspection (ISO datetime).
    NotesOptional notes about the inspection (up to 2,000 characters).
    ChecklistAt least one checklist item is required. Each item has a label (1–120 characters), a completed flag, and optional notes (up to 300 characters).
  4. Click Save.
Minimum role required to schedule: Property Manager.

Tenant reminders

Tenants are automatically notified 48 hours before a scheduled inspection. The reminder system:
  • Looks for inspections scheduled 47–49 hours from the current time.
  • Sends a notification to the tenant associated with the inspected unit.
  • Marks the inspection as notified to prevent duplicate reminders.
Minimum role required to trigger reminders: Property Manager.

Completing an inspection

  1. Open the inspection from the list.
  2. Update each checklist item — mark items as completed and add notes for any findings.
  3. Add any final notes.
  4. Click Complete Inspection.
When you complete an inspection:
  • The checklist and notes are saved.
  • A PDF report is automatically generated and uploaded to the property’s document storage.
  • The inspection status changes to completed with a timestamp.
Minimum role required to complete: Property Manager.

Listing inspections

View all inspections from Properties → Inspections or from a specific property’s detail page. You can filter by:

PropertyShow inspections for a specific property.
Statusall, scheduled, completed, or cancelled.
Results are paginated (up to 50 per page).
Minimum role required to list: Landlord.
