Landlord Guide

As a Landlord on BrikSync PropOS, you have visibility and control over your own properties, rental income, and tenant relationships. This guide covers your core day-to-day workflows.

Your Dashboard

Your dashboard gives you an at-a-glance view of your portfolio:
  • Portfolio summary — total properties, units, occupancy rate.
  • Rent collection this month — collected vs. expected.
  • Upcoming lease renewals.
  • Open maintenance requests.
  • Recent activity across your properties.

Adding Properties

You can add properties you own directly to BrikSync PropOS.
  1. Go to Properties → Add Property.
  2. Enter the property details:
    • Name — a label you recognise (e.g. “23 Victoria Road”).
    • Address — full address including postal code.
    • Property type — residential, commercial, industrial, or mixed-use.
    • Number of units — how many rentable units the property has.
  3. Click Save Property.
Once saved, you can add individual units and assign tenants.

Managing Units

Each property can have one or more units. Units represent individual rentable spaces within a property (e.g. flat 1A, flat 1B, or a single house). From a property’s detail page, go to the Units tab to:
  • Add, edit, or remove units.
  • See the occupancy status of each unit (vacant or occupied).
  • View which tenant is assigned to each unit.

Viewing Rent Payments

Keeping track of rent is one of the most important parts of property management. BrikSync PropOS gives you a clear view of all payment activity. From Payments you can:
  • See all rent payments across your properties, filterable by property, tenant, or date range.
  • View the status of each payment — Paid, Pending, Overdue, or Partial.
  • Export payment records for your accounting.
Set up automated rent due notifications so both you and your tenants are reminded before rent is due each month. Go to Settings → Notifications.

Lease Overview

Your leases represent the legal agreements between you and your tenants. From Leases you can:
  • View all active leases and their key dates — start date, end date, rent amount.
  • See leases approaching expiry (highlighted 60 days before end date).
  • Access individual lease records including any documents attached.

Maintenance Requests

As a Landlord, you have visibility into all maintenance requests submitted for your properties. From Maintenance you can:
  • View all open, in-progress, and resolved requests.
  • See request priority, description, and photos submitted by tenants.
  • Track how quickly requests are being resolved by your property managers.
If you have a Property Manager assigned, they handle the day-to-day maintenance workflow. You retain full read access to all requests on your properties.

Documents

Store and manage important documents for each property:
  • Tenancy agreements and renewals.
  • Property inspection reports.
  • Safety certificates (gas, electrical, EPC).
  • Correspondence and notices.
Documents can be shared directly with tenants via the tenant portal.

Inviting a Property Manager

If you want a Property Manager to handle operations on your behalf:
  1. Ask your organisation Admin to invite them via Settings → Team Management.
  2. Once they join, ask the Admin to assign them to your specific property from Properties → [Property Name] → Team.
The Property Manager will then have operational access to that property only.
